How to send a long, multi-page fax

Combine everything into one PDF

Sending one PDF keeps pages in the right order and makes the fax easier to check. Most computers can combine files without extra software:

• Mac: open the first PDF in Preview, show the thumbnail sidebar, and drag the other PDFs into the sidebar in the order you want. Then save.
• Windows: if your documents are already PDFs, use the PDF tool you already have to combine them. If they are in other programs, print each to PDF with Microsoft Print to PDF, then combine.
• iPhone: the Notes app document scanner keeps all scanned pages in one document that you can share as a PDF.
• Paper originals: scan them all in one batch on a scanner with a document feeder, so they come out as one file.

Send it step by step

1. Number the pages, for example '12 of 40', in the header or footer, so the recipient can tell if any are missing.
2. Sign in to FaxToFax.com in your browser with your email and the one-time code.
3. Attach the combined PDF.
4. Add a cover page with the total page count, a short list of what is enclosed, and your phone number in case pages are missing or unreadable.
5. Enter the fax number and check it when it is confirmed before sending.
6. Send. A long fax takes longer to transmit than a short one, so expect it to show In progress for a while.
7. When the status shows Delivered, download the time-stamped delivery receipt and keep it with your copy.

Very long documents

For documents running to a hundred pages or more, ask the recipient whether they would prefer it in parts. Their machine may run out of paper, and a single interrupted call means starting again. Split the PDF into sections, label each cover page 'Part 1 of 3' and so on, and send them one after another. A part that fails uses no pages, so you only resend that part.
